About The Role The Administrative Assistant at Gallagher Bassett plays a vital role in supporting the Claims team, primarily within professional liability lines including Healthcare, Errors & Omissions (E&O), Directors & Officers (D&O), Cyber, and Employment Practices Liability (EPL). This position is responsible for providing comprehensive administrative and clerical support to claims professionals and executive leadership, ensuring the smooth and efficient operation of claims processing activities. The role involves managing claim documentation, tracking deadlines, coordinating communication among stakeholders such as insureds, clients, brokers, legal counsel, and third-party vendors, and assisting with financial transactions related to claims. This is a remote position that requires strong organizational skills, attention to detail, and the ability to handle sensitive information in a fast-paced environment. The Administrative Assistant contributes significantly to maintaining accurate records, timely reporting, and fostering effective communication, thereby supporting the overall goal of delivering exceptional service and outcomes for clients and stakeholders. Qualifications High school diploma or equivalent required Minimum of 2 years of related administrative experience Working knowledge of Microsoft Windows applications and Microsoft Office suite Preferred: 3-5 years of administrative experience, preferably within insurance or claims Prior exposure to professional liability claims terminology is highly desirable Strong organizational skills with exceptional attention to detail Ability to handle sensitive and confidential information professionally Effective written and verbal communication skills Proven ability to manage multiple priorities in a fast-paced environment Experience working with claims management systems Basic understanding of claims workflows, including indemnity and ALAE tracking Demonstrated ability to meet deadlines and maintain thorough documentation Responsibilities Provide daily administrative support to claims professionals and executive leadership Receive and process incoming Notices of Loss, including First Reports, Supplemental Reports, and Closing Notices Track administrative activities, follow-ups, and deadlines to ensure timely completion of tasks Assist with claim system entries and updates, maintaining accurate electronic claim files Coordinate and prepare written and verbal communications with insureds, clients, brokers, attorneys, and third-party vendors Support payment processing for indemnity and expense transactions, including invoice tracking Prepare claim-related reports, loss summaries, loss runs, and bordereaux as required Ensure compliance with regulatory and reporting requirements in a fast-paced claims environment Collaborate with team members to improve administrative processes and workflows Maintain confidentiality and handle sensitive information with professionalism Benefits Competitive salary commensurate with experience and qualifications Medical, dental, and vision insurance plans available from day one Life and accident insurance coverage 401(k) and Roth retirement savings options Tax-advantaged accounts such as HSA and FSA Educational expense reimbursement programs Paid parental leave Access to digital mental health services through Talkspace Flexible work hours where applicable Training and development programs including Gallagher Thrive initiatives Charitable matching gift program Additional wellness and support programs aimed at enhancing employee wellbeing Equal Opportunity Gallagher Bassett is an equal opportunity employer that values diversity and inclusion in the workplace.
