The firm has an immediate opening for a highly skilled Executive Assistant in our New York office. This position provides critical support to multiple attorneys in our Corporate department. The ideal candidate is proactive, detail-oriented, and thrives on anticipating needs, taking ownership, and ensuring that attorneys are fully supported with minimal supervision. This position is available as a hybrid opportunity, 3 days per week in office. Key Responsibilities Attorney & Client Support Provide high-level administrative support to multiple attorneys, including partners, act as a trusted point of contact for clients, colleagues, and internal teams. Proactively manage calendars, sequence days for impact, build buffers/travel holds, and prepare daily/weekly briefs with priorities and key deadlines. Monitor and organize email inboxes, draft, proof and send correspondence, ensure deadlines and commitments are met. Triage requests, flag priorities, follow up, and provide reminders as needed. Document & Matter Management Draft, edit, and proofread letters, contracts, and complex legal documents; run redlines; ensure all outgoing work product is polished, accurate, and in line with firm standards. Manage new matter intake, engagement letters, and client onboarding requirements, coordinating closely with internal departments. Organize and maintain client and practice files (physical and digital) in accordance with firm policies, ensuring accurate record-keeping. Operations & Logistics Arrange and coordinate complex travel, conference calls, and meetings; manage expense reimbursements. Oversee scheduling of conference rooms and catering needs for client meetings and internal events. Assist with attorneys’ timekeeping, prebills, and billing processes, ensuring compliance with client and firm requirements. Business Development & Projects Assist with preparation of client-facing materials, including pitches, proposals, and RFP responses. Update attorney contacts in Outlook and maintain CRM lists (e.g. Salesforce) Handle special projects and research requests with discretion and initiative. Team Support Provide back-up coverage for fellow Executive Assistants as needed and contribute to a strong, collaborative support team culture. Qualifications 5+ years of executive assistant experience, preferably in a law firm or professional services environment. Bachelor’s degree or equivalent experience preferred. Demonstrated experience supporting multiple senior-level professionals with complex and demanding practices. Exceptional organizational skills with the ability to manage competing priorities in a fast-paced environment. Strong technical proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) and familiarity with legal technology tools. Proficiency in Salesforce a plus. Excellent written and verbal communication skills, with impeccable grammar, spelling, and attention to detail. Proven ability to exercise judgment, solve problems independently, and manage sensitive information with discretion. A proactive, invested mindset with a strong sense of ownership and responsibility for attorneys’ success. Flexibility to work occasional overtime to meet business needs. The primary location for this job posting is in New York. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $46.67 - $63.14 per hour. The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
