Armstrong Teasdale is seeking an Intellectual Property Legal Assistant to join the firm. The Intellectual Property Legal Assistant provides administrative assistance to all intellectual property practice group timekeepers. This individual works within a team environment to ensure uninterrupted workflow in service. Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Draft, review and proofread all documents and correspondence produced, check for proper formatting, spelling and grammatical errors, as well as ensuring that all signature pages, attachments, exhibits or enclosures are accurate and complete before distribution Conduct accounting tasks, including processing expenses, reimbursements, invoices, pre-bills, and entering time into the Firm's time and billing system, reviewing of billing statements, and editing same for preparation of final billing Maintain client files (both paper and electronic), organize and file documents in designated order, and complete electronic scanning May review, prioritize and maintain daily docket including validation of due dates, workload, tracking, may be responsible for providing reports in specialized formatting and follow up with timekeepers regarding deadlines May perform electronic filings with the USPTO office including preparation, formatting, and review of documents Effectively communicate with team and clients May obtain signatures and documents from clients, and track all requirements and due dates to ensure everything is prepared for filing Perform conflict checks, draft engagement letters in connection with file opening, and complete the file opening process Coordinate and make travel arrangements Effectively track and manage CLE reporting Job Qualifications: Required Education: High school diploma or equivalent Licenses and/or Certifications:N/A Experience: 2-4 years office experience including MS Office Suite; Legal office experience specifically in Intellectual Property preferred Supervisory Responsibilities: No Work Model: This role follows a hybrid work arrangement and requires a regular onsite presence of at least four (4) days per week in the Firm’s St. Louis office. Physical Activity: The employee will be required to sit for prolonged periods and work on a computer.
