<p><strong>Billing and Trust Account Specialist&nbsp;</strong></p> <p>Koley Jessen is a dynamic law firm powered by dynamic people. The firm is&nbsp;seeking a detail-oriented and highly organized Billing and Trust Account Specialist to join our accounting team.</p> <p><strong>Responsibilities:</strong></p> <ul> <li>Daily administration, reconciliation, and compliance oversight of client trust accounts in accordance with firm policies and applicable legal regulations.</li> <li>Invoice Management: Prepare, review, and finalize all client invoices, including receiving and processing proformas, ensuring accuracy, completeness, and compliance with client billing guidelines.</li> <li>Client Communication: Collaborate closely with clients, legal administrative assistants, attorneys, and other internal teams to address billing-related inquiries, resolve discrepancies, and clarify billing requirements.</li> <li>Data Integrity &amp; Reporting: Maintain accurate billing records, perform routine quality control checks, and generate billing and accounts receivable reports for internal review.</li> <li>Technology Utilization: Utilize Microsoft Office applications along with specialized billing and accounting software to streamline processes, enhance efficiency, and improve data accuracy.</li> <li>Process Optimization: Identify opportunities for process improvement within the billing cycle, recommending and implementing best practices to reduce errors, expedite turnaround times, and enhance the client experience.</li> <li>Compliance &amp; Standards: Uphold firm policies, industry regulations, and professional standards throughout the billing process, ensuring all financial transactions are conducted ethically and securely.</li> </ul> <p><strong>Qualifications:</strong></p> <ul> <li>Understanding of and experience working with law firm trust accounts.</li> <li>Education &amp; Experience: Associate’s Degree in Accounting or related field, or equivalent combination of education and experience.</li> <li>Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Outlook, Excel, Word) and experience working with billing/accounting systems. Familiarity with legal billing software is a plus.</li> <li>Attention to Detail: Exceptional organizational skills with the ability to manage multiple tasks, maintain data integrity, and meet tight deadlines under minimal supervision.</li> <li>Communication Skills: Strong verbal and written communication skills, including the ability to convey complex billing information clearly, professionally, and courteously to both clients and colleagues.</li> <li>Problem-Solving Ability: A resourceful mindset with the ability to identify and address billing issues pr
